1. Booking and Payment
1.1. Reservation Process

To reserve a spot on a retreat, clients must first submit a completed booking inquiry form.

Upon receipt, Shaper Retreats will schedule a consultation call to review retreat details and assess if the experience is the right fit.

After the call, you will receive a Booking Confirmation Email outlining your selected retreat details and next steps.
1.2. Payment Options
To secure your spot, you may choose one of the following secure payment methods:

Bank Transfer (ideal for deposits or full payments)

Secure Payment Link (processed via Wix Payments, powered by Stripe & Adyen)
The payment link will be sent directly via email and allows for credit or debit card payments using major providers including Visa, Mastercard, American Express, UnionPay, and more. Google Pay and Apple Pay are also supported.
All payment links are hosted on a secure platform to ensure safe and transparent transactions.
1.3. Payment Schedule

A 50% deposit is due within 5 business days of receiving your confirmation email

The remaining 50% balance is due 60 days prior to the retreat start date

Bookings made within 60 days of the start date require full payment at the time of confirmation
Any bank fees or currency exchange costs are the responsibility of the participant.
2. Cancellation and Refunds
2.1. Cancellation by Participant: Cancellations must be made in writing via email. The date of receipt of the cancellation email will determine the applicable cancellation fees:

More than 60 days before retreat start date: 25% of total cost

59-30 days before retreat start date: 50% of total cost

29-15 days before retreat start date: 75% of total cost

14 days before retreat start date: 100% of total cost (no refund)
2.2. Cancellation by Shaper Retreats: In the unlikely event that Shaper Retreats cancels the retreat, participants will receive a full refund of all payments made. Shaper Retreats is not responsible for any additional expenses incurred by participants (e.g., airfare).
2.3. Force Majeure: Shaper Retreats is not liable for cancellations due to force majeure events, including but not limited to natural disasters, war, epidemic or pandemic, governmental restrictions, or other events beyond our control. In such cases, participants may receive a partial refund or credit towards a future retreat, depending on recoverable costs.
3. Health and Fitness Requirements
3.1. Health Certification: Participants must certify that they are in good health and able to participate in retreat activities. Shaper Retreats reserves the right to request a medical certificate if necessary.
3.2. Fitness Level: Participants must be physically and mentally fit for the activities included in the retreat. Please consult with a healthcare professional if you have any concerns.
3.3. Special Needs and Dietary Requirements: Participants must inform Shaper Retreats of any special needs or dietary requirements at the time of booking. While we will make every effort to accommodate requests, we cannot guarantee that all needs will be met.
4. Travel Insurance
4.1. Mandatory Insurance: Participants are required to purchase travel insurance that covers personal accident, medical expenses, emergency evacuation, and cancellation. Proof of insurance must be provided prior to the retreat start date.
4.2. Liability: Shaper Retreats is not responsible for any costs incurred by participants due to lack of adequate insurance coverage.
5. Participant Responsibilities
5.1. Travel Documentation: Participants are responsible for obtaining and carrying all necessary travel documents, including passports, visas, and vaccination certificates.
5.2. Conduct: Participants are expected to behave respectfully and adhere to the instructions of Shaper Retreats staff and guides. We reserve the right to remove any participant from the retreat whose behaviour is deemed disruptive or dangerous to themselves or others, without a refund.
5.3. Personal Belongings: Participants are responsible for the safety of their personal belongings. Shaper Retreats is not liable for any loss, theft, or damage to personal items.
6. Accommodation and Activities
6.1. Accommodation: Accommodation is provided as specified in the retreat itinerary. Participants may be required to share rooms unless a single supplement is requested and paid for at the time of booking.
6.2. Changes to Itinerary: Shaper Retreats reserves the right to change the retreat itinerary as necessary. Any changes will be communicated to participants as soon as possible.
6.3. Optional Activities: Optional activities not included in the retreat price are subject to availability and may incur additional costs. Shaper Retreats is not responsible for any injuries or accidents during optional activities.
7. Privacy and Data Protection
7.1. Data Collection: Shaper Retreats collects personal data necessary for the organization and management of the retreat. This data will be handled in accordance with applicable data protection laws.
7.2. Use of Images: Participants consent to Shaper Retreats using photographs and video taken during the retreat for promotional purposes. Participants who do not wish to appear in promotional materials must notify Shaper Retreats in writing prior to the retreat start date.
8. Amendments
8.1. Amendments to Terms: Shaper Retreats reserves the right to amend these Terms and Conditions at any time. Amendments will be effective upon posting to our website or notification to participants in writing.
By booking a retreat with Shaper Retreats, you acknowledge that you have read, understood, and agree to these Terms and Conditions.
